Sponsored Participants

The 2015 National HIV Prevention conference organizers recognize the importance of facilitating the attendance of those who may not have the resources to attend. These include persons living with HIV/AIDS or those involved in providing HIV-related care or prevention services. The conference will provide a limited number of sponsorships for eligible participants.

APPLY TO BE A SPONSORED PARTICIPANT

ELIGIBILITY

  • Applicant must be at least 18 years old.
  • Only travel from within the U.S. and its territories will be supported.
  • Applicant must be engaged in HIV-related research, care or prevention activities.
  • Applicant must describe how conference participation will enhance their HIV-related work, and how they will share the skills and knowledge they have acquired at the conference.
  • Only one application per agency/organization will be accepted. Applications from multiple individuals representing a single agency/organization will not be accepted

APPLICATION DEADLINE

The deadline for submitting sponsorship applications is June 12, 2015. Application received after this date will not be accepted. Applicants will receive an email confirming that their application was received.

APPLICATION PROCESS

To apply for sponsored participation, applicants must submit the following:

  • Sponsored Participant Application (includes essay).
  • A copy of your abstract, if you have submitted one to the conference.
  • A letter of support from your organization with a contact name and telephone number.

APPLICATION REVIEW PROCESS

Reviewers will take the following important criteria into consideration:

  • Why this particular conference will be a benefit to the applicant and his/her community (10 points).
  • The different ways in which the applicant will share with his/her community the knowledge acquired at the conference (10 points).

The information provided on the Applicant Profile and Applicant Information Form is considered confidential and will be shared only with the organizers of the 2015 National HIV Prevention Conference for the purpose of reviewing and selecting Sponsored Participants. All essays will be reviewed and scored by assigned reviewers. Preference will be provided to those individuals whose abstracts have been accepted for presentation at the conference. Reviewers will not have access to Applicant Profile and Applicant Information form data. Sponsored Participant applicants will be notified no later than September 2015 of the results of their sponsorship application submissions.

SPONSORED PARTICIPANT PACKAGES*

To enable as many applicants as possible to receive support, sponsored participants may receive one of the following levels of support: full support, partial support, or complimentary conference registration. Additional information is forthcoming.

*IMPORTANT NOTE
Travel for sponsored participants will be arranged by CDC and conform to the Federal Travel Regulations and to the travel policies established by the U.S. Department of Health and Human Services. The government will purchase airline tickets on behalf of the sponsored traveler, but the traveler will be responsible for paying all other travel expenses (lodging, limited ground transportation, meals not provided at the conference, and other expenses) and then getting reimbursed upon submission of a travel voucher. In order to be reimbursed, participants must have a bank account for e-transfer of funds.
